ACKNOWLEDGEMENT AND RECEIPT
The Barbershop Harmony Society (BHS) will acknowledge and provide a donation tax receipt, within three business days for gifts made online, and within 30 days for gifts made by regular mail.
BHS collects the following types of information from donors:
- contact information (name, address, telephone number, email address, etc.)
- giving preferences
- special requests for program information
- information provided by the donor in the form of comments and suggestions
BHS will not share, sell or rent donor information of any sort with any third parties.
The IRS requires that we list contributions totaling $5,000 or more (in money or property) from any one contributor, on Schedule B of Form 990. The Public Disclosure Copy of Form 990, that is available for public viewing and in online sources such as GuideStar, redacts all personal contributor information and only lists total amount of contribution.
BHS uses donors’ information to understand their interests, to communicate with them, and to update them on our plans and activities. Donor information is shared with certain staff, board members, volunteers, and consultants only on a “need-to-know” basis. As a condition of employment, staff must comply with confidentiality guidelines in the Employee Handbook, with consequences of disciplinary action including termination.
From time to time, BHS may recognize donors in certain public-facing communications, including, but not limited to website, convention programs and publications. At the time of a gift, the donor will be given a choice whether and how to be listed.
If a donor chooses to direct a portion of a gift to a chapter or district, the donor can choose to have us share that information with the chapter or district.

FINANCIAL DISCLOSURE STATEMENT

Subject to the donor’s express permission to be recognized, BHS may from time to time recognize donors in certain public-facing communications, including, but not limited to website, programs and publications. Where applicable, donors will be recognized as giving at certain giving levels, as follows:
- Supporter of Harmony — Up to $239 annual gift or up to $19.99 per month recurring gift
- Friend In Harmony — $240 annual gift or $20 per month recurring gift
- Leader In Harmony — $600 annual gift or $50 per month recurring gift
- Benefactors Circle* — $900 annual gift or $75 per month recurring gift
- Innovators Circle* — $2400 annual gift or $200 per month recurring gift
- Investors Circle* — $4800 annual gift or $400 per month recurring gift
- Artists Circle* — $9,600 annual gift or $800 per month recurring gift
- Champions Circle* — More than $9,600 annual gift
* For 2021, BHS will award priority seating assignments to BHS convention registrants who make annual gifts at these levels. For the 2021 Midwinter Convention, BHS will allocate VIP seats among BHS donors who have given $900 or more by December 31, 2020. For its 2021 International Convention, BHS will allocate VIP seats among BHS donors who have given $900 or more by June 30, 2021. This assumes that these events will take place as currently scheduled, which cannot be predicted or guaranteed in light of the pandemic. Priority seating policies for 2022 and beyond will be announced at a later date.
The Barbershop Harmony Society seeks outright gifts and future gift commitments that are consistent with its mission. Donations generally will be accepted from individuals, partnerships, corporations, organizations, government agencies, or other entities without limitations, unless the acceptance of gifts from a specific source is inconsistent with BHS’s beliefs, values, and/or mission. BHS will not accept gifts from companies whose products may be harmful or from donors whose requests for public recognition are incompatible with our philosophy of appreciation.
Multi-year pledges are welcomed, for up to five years. A donor should complete and sign a gift or pledge agreement form detailing the purpose of the gift, the payment schedule, and how the donor prefers to be named in donor recognition materials. BHS accepts gifts for unrestricted, restricted, and endowment purposes. These restrictions are chosen by the donor and documented in our system at the time of the gift. When gifts with restrictions are accepted, restrictions will be honored. If BHS is unable to commit to the proposed restriction, a staff or board member will contact the donor to discuss changing the restriction or returning the gift.
BHS may refuse gifts of cash, securities, real estate, or other items of value if it believes that such gifts are incompatible with the mission of the organization, conflict with its core values, or would create a financial, administrative, or programmatic burden.
Publicly Traded Securities
Gifts of stocks, bonds, and other securities will be accepted by BHS upon approval of the executive director. BHS will sell gifted publicly traded securities within three business days of the date of the gift, which will be calculated as: 1) the date the certificate is personally handed to a BHS representative; or 2) the date on the certificate if it has been changed to BHS or our designated fiscal agent; or 3) three business days after the date of receipt at our office if mailed; or 4) three business days after the date and time of transfer if electronically transferred to an account at BHS’s broker’s office. Closely Held and Nonpublicly Traded Securities
Gifts of nonpublicly traded securities will be accepted by BHS upon approval of the executive director and consultation with our treasurer and/or legal counsel. Considerations in gift acceptance will include a qualified appraisal (at the donor’s expense) to determine the fair market value, and the potential for liquidation through redemption or sale. Gifts of real estate will be accepted by BHS upon approval of the executive director and consultation with our treasurer, legal counsel and Board of Directors. The donor of a proposed gift of real estate will be responsible for obtaining and paying for an appraisal of the fair market value, an environmental audit of the property, and a title search. A BHS staff member will inspect the property (if geographically feasible) along with a licensed real estate broker. Please contact us at email@example.com to discuss a gift of real estate.
End-of-life gifts of stocks, bonds, and other securities will be accepted by BHS upon approval of the executive director. Bequests and gifts of life insurance, annuities and other deferred giving options are welcomed, when BHS is named as the owner and beneficiary of the policy. Tangible Personal Property and In-Kind Gifts
Gifts of jewelry, artwork, collections, equipment, and software may be accepted upon approval of the executive director and consultation with our treasurer and/or legal counsel. Considerations may include potential value of the proposed gift, transportation costs, and costs for storing, selling, maintaining and/or repairing the item.
Accepted gifts that cannot be directly used by BHS may be sold for the benefit of the organization. If gift items are sold, we will follow IRS/CRA requirements for disposing of gifts of tangible personal property and filing the appropriate tax reporting forms. Any gift of property estimated to be worth more than $5,000 in the United States ($1,000 in Canada) requires an authorized appraisal, paid for by the donor. Gifts of Specific Historical Interest
The Barbershop Harmony Society has extensive collections and archives relating to the history of the Society and the musical art form. We are always interested in unique items that match our collection’s needs—but we also have relatively limited space for maintaining collections and may not be able to house duplicate items. The Barbershop Harmony Society is classified by the U.S. Internal Revenue Service as a 501(c)3 tax-exempt organization, and your donation is tax-deductible within the guidelines of U.S. law. To claim a donation as a deduction on your U.S. taxes, please keep your email donation receipt as your official record. You will receive this upon successful completion of your donation. Outside the U.S., your donation is not deductible, per local jurisdictions—but your generosity is still appreciated!
